Duties & Responsibilities of Officers of the Central Section NAGT

President (3rd year term of 3 year committement):

June:

  • Fall Field Conferences: Contact coordinators of the Tri-State and GLS-SEPM fall field conferences to offer to co-sponsor field conference by advertising to our members via our newsletter
  • Represent or designate a representative for our Section at the annual NAGT business meeting held at the annual GSA meeting

October:

  • Write President's message for Fall newsletter (early September)
  • Review newsletter before it is mailed
  • Submit an annual report to NAGT upon request from NAGT (early October)

December:

  • Sign up for Central NAGT booth with exhibit chair of NC-GSA Planning Committee
  • Remind 1st VP and 2nd VP to meet deadlines and solicit abstracts

February:

  • Oversee NAGT Exhibit for NC-GSA
    • Contact NAGT Executive Director to:
      • Reserve exhibit materials
      • Request fliers and copies of JGE
  • Remind 1st VP and 2nd VP to meet deadlines and solicit abstracts
  • Write President's message for Spring newsletter (early March)
  • Review newsletter before it is mailed
  • With help of other officers, find 2nd VP for following year near NC-GSA conference site (to be nominated and elected at business meeting)

Spring Meeting:

  • Oversee NAGT Exhibit booth for NC-GSA (fall or winter)
    • Ask Treasurer to send a check paying for exhibit space
    • Receive and transport to meeting the exhibit materials or assign other to do this
    • Organize officers and members to staff the exhibit booth
    • Oversee or appoint someone to set up and take down exhibit
    • Mail exhibit materials to next user as per NAGT Executive Director's instructions
  • Conduct officers meeting (at NC-GSA before section business meeting)
  • Conduct business meeting
    • Nominate and vote for officers
    • Announce workshops, theme sessions, and field trips for Central NAGT sponsored events at NC-GSA for the following year
    • Request a vote on financial support for Tri-State and GLS-SEPM fall field conferences provided they offer lower student and K-12 registration rates (at NC-GSA Meeting in spring)
  • Work with the NC-GSA committee to announce the education program for the next year at the NC-GSA Section Management Breakfast at the NC-GSA conference (this is the responsibility of the outgoing President)

    1st Vice President (2nd year term of 3 year committment):

    June:

    • Submit theme session topic to NC-GSA general chair by their deadline (summer)

    December:

    • Recruit participants for NC-GSA theme sessions

    January:

    • Review abstracts, organize talks for session, submit this to GSA (solicit President's or other's assistance) (early January)

    Spring Meeting:

    • Organize theme session for NC-GSA for year following election (solicit President or other as co-convener)
    • Convene them session at NC-GSA at end of 1st VP term
    • Assist President as requested

      2nd Vice President (1st year term of 3 year committment):

      June:

      • Coordinate NAGT Central Section program in consultation with Central Section's 1st VP and with Sectional GSA Planning Committee for subsequent year
        • Forward deadlines to Central Section officers for submission of announcements for first and subsequent GSA Today announcements
      • Select a K-12 liaison to work with the NC-GSA section in planning yearly NC-GSA conference. This liaison will publicize the conference and recruit local Geoscience teachers attending the conference
      • Submit theme session, workshop, or field trip topics to NC-GSA general chair by their deadline (summer)

      December:

      • Recruit participants for theme sessions

      January:

      • Review abstracts, organize talks for session, submit this to NC-GSA (may solicit President's or other's assistance)

      February:

      • Organize details for business luncheion with president's advice
        • Reserve a room for a catered lunch for about 20 people on the last day of the meeting from noon to 1pm
        • Pick the menu
        • Request that tables are arranged in a horseshoe or square pattern

      Spring Meeting:

      • Organize theme sessions, workshops, and field trips for year following election
        • Organize theme sessions sponsored by Central NAGT
        • Organize field trip and/or workshop targeting local K-12 teachers
          • Work with someone who knows and works with local teachers
      • Convene theme session at NC-GSA at end of 2nd VP term
      • Solicit topics for the next year's NC-GSA theme session (while 1st VP)

      Treasurer (3-year term):

      June:

      • Submit financial report for National NAGT for their annual report

      Spring Meeting:

      • Prepare budget for subsequent fiscal year and present it at the annual business meeting

      In addition:

      • Maintain NAGT Central Section's checking and other accounts
      • Write checks for expenses (awards, newsletter expenses, misc.)
      • Receive membership fees from National NAGT

        Secretary and Newsletter Editor (3-year term):

        June:

        • Work with Website Coordinator to keep website up-to-date

        October:

        • Edit and email Fall Newsletter
          • "Standing Articles"
            • Advertise fall field conferences (Tri-State [WI-IA-IL] and GLS-SEPM)
            • Solicit abstracts for NC-GSA (deadline usually in December)
            • Include minutes from spring business meeting
          • Solicit articles and announcements for each newsletter four weeks in advance of mailing
          • Submit newsletter to the president for review one week prior to emailing it to members
          • Request updated membership list (Excel file) from Allen Press which handles all NAGT membership services. Joyce Lancaster (jlancaster@allenpress.com) is the NAGT contact at Allen Press. Please contact Joyce a few days in advance of when you plan to send out the newsletter. She can also distribute messages directly to the members, but these messages cannot contain attachments so the newsletter will need to be sent via standard email.
          • Post newsletter to the Section website

        February:

        • Edit and email Spring Newsletter
          • Feature NAGT functions at NC-GSA
            • Theme session
            • Additional K-16 workshop or field trip
            • Business meeting and luncheon on 2nd day of conference
            • Solicit members to help staff NAGT booth
          • Solicit articles and announcements four weeks in advance of mailing
          • Submit newsletter to the president for review one week prior to emailing it to members

          • OEST Award
            • Solicit state nominations from state representatives
            • Organize selection of state and section awrdees
          NOTE: Central NAGT usually pays for the Spring business luncheon for OESTA winners

          OEST 2nd Chair (2-year commitment)

          • Assist the OEST 1st Chair

          Website Coordinator:

          • Keep the website up-to-date by working with the Secretary
            • Regular updates
            • Add newsletters (semi-annual)
            • Add minutes of business meetings (annual)
            • Add special activities beyond symposia at GSA meetings (field trips, workshops)
            • Update list of officers (annual)
            • Insert photos from activities; update those on home page
          • New ideas
            • Feel free to think of new ideas - send them to the Secretary who will run them past the other officers if it seems appropriate

          State Representatives (indefinite term length; two per state):

          • Solicit OEST nominations for their state
          • Submit news and announcements of geoscience education activities in their state to the Newsletter Editor
          • Help staff NAGT booth at NC-GSA meetings
          • Provide continuity to the Central Section
            • Be familiar with past and current activities and procedures
          • Suggest names for future officers of NAGT Central Section
          • Produce:
            • a summary of the status of Earth Science education in their state
            • an annual summary of the activities of their state Earth Science Teacher Association (if there is one), or Earth Science related activities of state Science Teacher Associations, which could be featured in the newsletter and/or on the website
            • a mailing list of earth science educators in their state
          • formally approach state geoscience education organizations as a representative of the Central Section of NAGT in order to receive their cooperation

          NAGT Liaison to Central Section NAGT

          • If there are any questions or concerns that anyone in the section would like to bring to NAGT, send them to the national liaison
          • Communicates issues from national NAGT

          Communication between officers

          • The president and secretary should copy the other officers, including past president and state representatives, on key aspects of section business
            • This helps inform and educate others (including upcoming officers) of our activities
          • All officers should copy the president and secretary when conducting key aspects of section business
            • This helps inform the president of progress
          • E-mail protocol
            • It is not appropriate to forward to others someone's email messages without their permission, especially if there is anything of a sensitive nature in it.
